Privacy Policy

Theatre IV shares general statistics about our subscriber base – such as the number of subscribers and percentages of subscribers by zip code. This does not include any information about individuals. For information on more specific data that is stored or shared, please see below.

Emails

When you email us through our TheatreIVandBarksdale@gmail general address, a copy of your email is saved in the gmail account which is password protected. (See gmail’s privacy policy). A copy is also saved on our webmaster's computer which is protected by a firewall and password.

Any emails sent to our ___@theatreivrichmond.org addresses are protected by that staff member's password.

eNewsletter

Theatre IV does not share or sell emails from our eNewsletter list to other organizations. Emails given for our eNewsletter list will only be used to email you the information you have requested. You may unsubscribe at any time by clicking the "unsubscribe" link at the bottom of all of our emails.

MailerMailer sends out our eNewsletter emails. They keep a copy of your name, email address, city, state and company - if provided by you at time of signup. Theatre IV staff access to this information is password protected and limited to our webmaster. For MailerMailer's privacy policy - please see below.

Ticket Purchase

We do not share personal information or lists of our ticket buyers with outside organizations.

When you purchase tickets or season subscriptions to our Richmond VA productions through our box office, your name and contact information and ticket purchase information are saved electronically in our ticketing system. Our system is protected by a firewall and password protection.

Donations

When you send in a donation, we keep the name, contact information and the amounts of donations. This information is stored in filing cabinets, and electronically in our ticketing system. The cabinets that contain those files are located in a locked room to which only authorized staff have a key. The ticketing system is protected by a firewall and by password.

If a donor wants to remain anonymous or be removed from our mailing lists, we always oblige, no questions asked. We do not share any of our individual donor lists with any other organization. We do provide foundations, corporations and government entities with lists of our primary institutional funders, but this does not include address/contact or account information -- only the institutions' names and in some cases, gift amounts.

We sometimes submit teacher surveys (which contain teacher/principal names and sometimes email addresses) and student feedback with grant proposals to demonstrate to potential funders the effectiveness of and appreciation for our programming. If students have written their names or other personal information on their letters or artwork, we black out everything but their first name. Copies are stored in a locked room to which only authorized staff have a key.

Tour

When you book a performance for your school or venue, your name and contact information are saved on our staff drive, which is protected by a firewall and password. Contracts from our sponsors are kept in file cabinets in our administrative offices. The building is protected by lock 24 hours a day. During office hours visitors must be let into the building by a staff member.

We sometimes submit teacher surveys (which contain teacher/principal names and sometimes email addresses) and student feedback about our touring productions with grant proposals to demonstrate to potential funders the effectiveness of and appreciation for our programming. If students have written their names or other personal information on their letters or artwork, we black out everything but their first name. Copies are stored in the Development Dept. (see Donations above) and in the Tour Dept. Tour copies are save electronically on our staff drive, which is protected by a firewall and by password.

Emails in praise of a production are sometimes shared among staff so they can have a sense of the impact of their work and often so that cast members can read the feedback. Our staff emails are protected by password.

Updates

From time to time, we may use customer information for new, unanticipated uses not previously disclosed in this Privacy Policy notice. If our information practices change at some time in the future, we will post the policy changes to this Privacy Policy page to notify you of these changes.

 

We use MailerMailer.com to handle our mailings. Their privacy policy is as follows:

Email List Information Collection

For each visitor that signs up for our email list, we collect only the information that is requested on the list signup form. Required fields are denoted with an asterisk (*). Our web servers may collect the domain name or IP address of visitors to our web page(s). Unless otherwise stated on our web site, we collect the email addresses of those who communicate with us via email and information volunteered by you such as but not limited to list signup information, survey information, and/or site registrations. We also may collect clickstream information. In our email messages to you which are distributed through this list, we may have information from third party providers for products and services which may be advertised or promoted within messages we send to you from this email list--the privacy policies of those third-party provider sites govern the method by which they collect and use such information.

Use of Web Site Information Collected

The information we collect may be used to create an aggregate demographic profile of our user base and those of the MailerMailer.com email list management service so that we and MailerMailer can improve content and services and provide aggregate information to potential advertisers (no individual information is provided to any third-party without your consent), to customize the content and/or layout of our email messages or pages for each individual visitor, to notify you about updates to our web site and services, to send you our opt-in e-mail newsletter(s), to provide you with the products and/or services for which you signed-up or registered, which may include sending service disruption notices or other service- or product-related information via email, and is not shared with other organizations for commercial purposes without your consent. We may share collected information with another company in the event that we merge with or are acquired by another company. Upon request, we will provide you with the information (e.g., email address, name, etc.) that we maintain about you.

If you subscribed to our e-mail newsletter(s) but do not want to receive it in the future, please follow the "unsubscribe" instructions contained in the newsletter(s).


Cookies

We, and some of our partners who provide some of the services and products on our site, may use cookies to record session information, such as items that you add to your shopping cart, record user-specific information on what pages users access or visit, record past activity at a site in order to provide better service when you return to our site, and customize web page or email message content based on your browser type or other information.

Security

We and MailerMailer.com, providers of the email list management service used for this list, strive to maintain appropriate security measures in our respective physical facilities to protect against the loss, misuse or alteration of information that we have collected from you for being part of our email list. Although we and MailerMailer take reasonable measures to secure our data, we cannot guarantee that the measures taken are or will remain adequate. Since we may include links from messages sent to the email list to other companies' web sites, please refer to the privacy policies of those sites for information on how they handle security for information they collect.

MailerMailer operates under the Unix operating system using an SQL database. They have redundant servers, hot swappable disk drives, offsite tape backups, and a 100MBps burstable internet connection at a tier 1 provider in a secure facility. The network and servers are monitored 24/7.
